Fractional CFO
Looking for CFO for tech-non-profit. Fractional CFO (90% Remote) & System Requirements
Section 1: Core Scope of Work (Immediate Requirements)
The selected firm or individual will be responsible for executing the following operational pillars during the 2026 startup phase:
- System & Internal Controls Setup: Design and implement a customized, localized Nonprofit Chart of Accounts using an on-premises desktop ledger. Establish strict user permissions and local data-backup protocols.
- Comprehensive Payroll Management: Handle the complete setup, onboarding, and ongoing execution of payroll for all staff members, ensuring proper fund/grant allocation for every dollar paid.
- Audit Documentation Prep: Act as the primary liaison for the year-end CPA financial audit, compiling all required balance sheet reconciliations, transaction records, and grant tracking documents.
- Quarterly Meeting Attendance: Prepare formal financial reports (Statement of Activities, Statement of Financial Position, and Grant Tracking Reports) and present them directly to leadership and the Board of Directors four times a year.
- Strategic Financial Advising: Counsel the organization on personnel budgeting to secure future salaries directly through grants and build long-term operational cash reserves (net worth).
Section 2: Core Experience & Qualifications
- Advanced Non-Profit Accounting: 5+ years of specialized non-profit financial experience (CPA, MAcc, or equivalent senior-level agency background).
- Grant & Fund Accounting Architecture: Proven track record of managing restricted funds and tracking line-item expenditures to match local, state, and foundation guidelines.
- Legacy & Desktop System Mastery: Deep expertise in managing on-premises desktop financial software (e.g., QuickBooks Desktop Enterprise Nonprofit Edition, AccuFund, or MIP Desktop).
Section 3: Long-Term Goals
While the immediate phase allows for temporary, isolated cloud buffers to ensure rapid onboarding and seamless compliance for the upcoming 2026 year-end audit, the organization’s explicit long-term trajectory must be prioritized:
- Complete Cloud Independence: The primary long-term mandate for the CFO is to engineer a permanent, fully offline, desktop-installed accounting and payroll roadmap.
- Transition Planning: During the initial setup phase, the CFO must actively research, test, and prepare a migration plan to transition the organization entirely away from cloud-dependent subscription models by 2027 (utilizing local compliance software like AMS Payroll / 1099-Etc or equivalent localized, downloadable tools).
- Self-Sustaining Operations: Establish localized automated workflows (such as batch statement imports and linked desktop document centers) that allow administrative staff to comfortably run day-to-day operations entirely on local, secure drives.
Compensation is as follows: $38,000 from July to December.
